Change Policies
Configure self-service days, approval requirements, and trust mode for time entries
Change Policies control how employees can modify their time entries and what level of approval is required.
Overview
A Change Policy defines:
- Self-service days - How far back employees can edit entries without approval
- Approval days - How far back entries can be edited with manager approval
- Trust mode - Whether approval is required at all
Configuration Options
Self-Service Days
The number of days an employee can edit their own time entries without requiring approval.
| Setting | Behavior |
|---|---|
| 0 days | All changes require approval |
| 3 days | Can edit entries from the last 3 days freely |
| 7 days | Can edit entries from the last week freely |
| 30 days | Can edit entries from the last month freely |
Self-service edits are still logged in the audit trail for compliance.
Approval Days
The number of days within which time entries can be edited with manager approval.

| 7 days | Can request approval for entries up to 1 week old |
| 30 days | Can request approval for entries up to 1 month old |
| 90 days | Can request approval for entries up to 3 months old |
| 365 days | Can request approval for entries up to 1 year old |
Entries older than the approval window cannot be modified without admin intervention.
Trust Mode
Trust Mode
When noApprovalRequired is enabled, all time entry changes are automatically approved. Use only in high-trust environments.
Trust mode settings:

Creating a Change Policy
Go to Settings → Change Policies
Click "Create Policy"
Configure the policy:
- Name: Descriptive name (e.g., "Standard", "Strict", "Trust")
- Self-service days: Number of days for free editing
- Approval days: Maximum days for approved edits
- Trust mode: Enable/disable
Click "Save"
Example Configurations
Standard Configuration
Balanced approach for most organizations.
Self-service days: 3
Approval days: 30
Trust mode: Off- Employees can fix same-day or recent mistakes
- Manager approval for older entries
- Audit trail maintained
Strict Configuration
For highly regulated environments.
Self-service days: 0
Approval days: 7
Trust mode: Off- All changes require approval
- Short window for corrections
- Maximum oversight
Trust-Based Configuration
For high-autonomy teams.
Self-service days: 7
Approval days: 90
Trust mode: On- Full week of self-service
- Extended approval window
- No approval bottlenecks
Weekly Lockdown Configuration
For weekly payroll processing.
Self-service days: 7
Approval days: 14
Trust mode: Off- Edit current week freely
- Previous week needs approval
- Older entries locked
Assigning Change Policies
Change policies follow the same hierarchical assignment as Work Policies:

- Go to Settings → Change Policies
- Find the policy
- Click "Set as Organization Default"
Assigning to Teams or Employees
- Go to team or employee settings
- Find the Change Policy section
- Select a policy
- Save changes
How It Works for Employees
Within Self-Service Window
- Employee opens a time entry
- Makes changes
- Saves - changes apply immediately
- Entry logged in audit trail
Beyond Self-Service Window
- Employee opens an older time entry
- Makes changes
- Clicks "Request Approval"
- Manager receives notification
- Manager approves or denies
- Employee notified of decision
In Trust Mode
- Employee opens any time entry
- Makes changes
- Saves - changes apply immediately
- No approval required regardless of age
Manager Approval Workflow
When approval is required:
- Notification - Manager receives in-app and email notification
- Review - Manager sees old vs new values
- Decision - Approve or deny with optional comment
- Result - Employee notified, entry updated if approved
Bulk Approval
Managers can approve multiple pending changes:
- Go to Approvals → Time Entry Changes
- Review pending requests
- Check multiple items
- Click "Approve Selected" or "Deny Selected"
Best Practices
- Match your payroll cycle - Set approval days to align with payroll processing
- Consider your culture - Trust mode for autonomous teams, strict for regulated industries
- Communicate clearly - Ensure employees know the policy
- Review regularly - Check if policy meets your needs
